Billing and plans

Manage your plan, see how much of each limit you're using, and view invoices.

Manage your InfraNest subscription, keep an eye on your usage, and understand exactly what shows up on your invoice — this article is for anyone who handles billing for their organization.

Overview

  • Every plan (Free, Pro, Business, and others) controls which features you can use, how many of each thing you can have — certificates, domains, DNS zones, servers, monitors, status pages, dynamic IPs, team members, webhooks and more — and rate limits on some actions.
  • Usage meters in your billing settings show how close you are to each limit.
  • You can change plans at any time, and InfraNest prorates the difference so you only pay for what you use.

Update your invoice details

Under Billing details you decide how your invoice is addressed. All changes apply to your next invoice — an invoice that's already been issued doesn't change.

  1. Go to Billing details.
  2. Fill in Company name — the name your invoice is made out to. If you're not a company, use your own name.
  3. Fill in Address — two lines. Use the second line for a floor, suite, or the person/department the invoice should go to, such as "Attn: Finance."
  4. Add your Postal code, city and country — the country also decides how VAT is handled.
  5. If you have one, add your VAT ID. For most EU businesses outside our own country, this means VAT is reverse-charged, and your invoice will say so.
  6. Optionally add a Reference / PO number — your own reference, such as a purchase order or customer number, printed on the invoice (up to 30 characters).
  7. Optionally add up to five extra addresses under Also send invoices to — for example, your bookkeeper. Everyone currently receiving the invoice is listed right below the field.
  8. Select Save changes.

What your invoice shows depends on where you are and whether you've given us a VAT number.

Add your VAT number and pay less

If you're a business in the EU outside Germany, adding your VAT number means your future invoices carry no VAT at all. Until you do, we have to charge German VAT — a company name on its own isn't enough, because the VAT number is the part we can verify.

If you see a note saying you're being charged German VAT and might not need to be, that's why. Add the number under Billing details and it applies to your next invoice.

"We couldn't verify your VAT number"

This means the EU's VAT checking service didn't answer — not that your number is wrong. It's a shared service across member states, and any one of their systems can be briefly unavailable.

Nothing is lost: we keep trying in the background, and you can select Check again yourself. While it's unverified we charge German VAT, which you can reclaim or which we can correct once the check succeeds.

"That VAT number isn't recognised"

Here the check did go through, and didn't recognise the number. Worth checking:

  • the country prefix is included (for example DE123456789, not 123456789),
  • there are no typos, and
  • the number is actually registered for EU cross-border trade — some national numbers aren't, and have to be activated with your own tax office.

Already-issued invoices don't change

If your VAT number is confirmed after an invoice has gone out, that invoice stays as it is — VAT applies from your next one. Get in touch if an issued invoice needs correcting and we'll look at it.

Keep your plan after a free trial

A trial doesn't turn into a paid plan by itself — if you do nothing, it ends and your organization moves to the free plan.

  1. During the trial, go to Settings → Plan.
  2. Select Continue after the trial.
  3. Enter a card, and your country if we don't already have it — this decides the VAT on your invoice.
  4. Select Confirm.

NoteNothing is charged that day. You keep the rest of the trial, and the first payment is taken on the day the trial was going to end. That date is shown before you confirm, and we email it to you afterwards. Cancel any time before then and no payment is taken.

You can also continue on a different plan than the one you're trialling — pick that plan instead, and the rest of your trial still applies.

Understand refunds and credit notes

When we give money back — all of an invoice or part of it — you get a credit note: a numbered document that cancels that part of the original invoice. We email it to you with the PDF attached, and it also goes to your billing address's CCs, so your bookkeeper gets it directly.

WarningKeep the PDF. If you reclaimed VAT on the original invoice, this is the document your accountant needs in order to reverse it. A bank refund on its own isn't enough for that — the credit note is what makes the correction official.

The email tells you how the money comes back, which is one of three things:

  • Back to your card — usually visible within 5–10 days, depending on your bank.
  • As account credit — no money moves; it comes off your next invoice automatically.
  • Paid back another way — for a transfer arranged outside our payment provider.

The original invoice isn't cancelled or re-sent, and it keeps its own number. Both stay available under Settings → Invoices, in the same list: a credit note appears on the date it was issued, labelled with the invoice it credits, showing a negative amount, how the money came back, and a Download PDF button.

Track account credit

If a refund was given as account credit, the amount sits on your account and comes off your next invoice automatically — there is nothing to claim and nothing to do.

  1. Go to Settings → Invoices.
  2. While there's a balance, you'll see a note such as "You have €12.00 in account credit."
  3. Once it's used up, the note disappears and your next invoice shows the reduced amount.

When you reach a limit

  • A feature that's off on your plan shows an upgrade prompt.
  • At a count limit, you'll see an "at limit" note — existing items keep working, you just can't add more until you upgrade.
  • Some actions are rate-limited; if you go too fast, you'll be asked to try again shortly.

Tips

TipIf you're unsure why an invoice shows German VAT, check whether your VAT number has been added and confirmed under Billing details — that's the most common reason.
