Send a client their month

The Account review is one client, one month, one document. Pick who it is about and which month, and you get something you can send: what you run for them…

Turn one client's month into a single document you can hand over — what you run for them, whether it stayed up, what's renewing soon, what it cost, and what changed. This is for anyone who needs to keep a client updated without stitching several reports together.

Overview

  • Every other report covers a kind of thing — domains, spend, uptime. The Account review covers a client: one client, one month, one document.
  • Pick who it's about and which month, and you get a summary plus supporting detail you can send as-is.
  • The summary at the top is drawn from the same sections below it, so it never says something the detail doesn't back up.
Send a client their month

Choose who the review is about

  1. Open the filter bar and pick a tag, or one of your own custom field values — if you have a Client or Cost centre field, that's usually the right one.
  2. Make sure the tag or field value is actually applied to the servers, domains, or other items you want included. A server tagged Acme appears in Acme's review; an untagged server appears in no one's.

Choose the month

  1. Pick a whole month — only completed months are available.
  2. Note that a month still in progress isn't offered, since its figures would still change tomorrow.

Read the sections

  • The summary — two or three sentences flagging what needs attention, generated from the sections below.
  • What we run for you — the inventory and its ongoing monthly cost.
  • Availability — uptime per monitored service. Set a target on the client's tag under Settings → Tags to see whether the month met it; with no target set, the review says so rather than guessing.
  • Coming up — renewals and expiries due in the next 90 days, with expected cost.
  • What changed — domains registered or renewed, and any price changes.

NotePayments that cover more than one client — like a shared support contract — can't be attributed to a single client, so they're counted separately instead of being split or dropped. Also, availability relies on tags: monitoring checks can carry tags but not custom fields, so a review filtered by a custom field leaves the Availability section out rather than mixing clients together.

Send it every month automatically

  1. Scroll to Send this every month at the bottom of the report.
  2. Add the email addresses that should receive it — recipients don't need an InfraNest login.
  3. Optionally pick a notification destination to also post a short version (summary plus link) to a channel; leave it on Email only if you don't want that.
  4. Optionally choose the language for this report — it's written for the recipient, not for you, so different clients can receive different languages from the same organisation.
  5. Use the switch to turn sending On or Off at any time; turning it off keeps your saved addresses so you can turn it back On later in one click.

TipUse Send now to email the last closed month immediately using the same path as the scheduled send — so a test looks exactly like what the client receives. It doesn't cancel the scheduled monthly send.

A few things worth knowing about these emails:

  • Nothing empty is sent — a client with nothing running gets no email. A quiet month still arrives, since "nothing needed attention" is useful to know.
  • The email body always contains the summary, so it reads on a phone without opening anything.
  • A PDF is attached where your installation supports generating one; if not, the email still goes out on schedule.
  • Every send is recorded in your Audit Log, including who received it.

Manage every scheduled review for your organisation from Settings → Emailed reports — it lists who each one is about, who receives it, and when it last went out.

Send it yourself

  1. Click Download PDF to get the exact document that would be emailed to the client — where your installation can produce one.
  2. If Download PDF isn't available, your installation has no PDF renderer set up; use Print instead.
  3. Click Print to open your browser's print dialog, where "Save as PDF" is one of the available destinations.

The printed or downloaded copy carries your organisation's name, the client, the month, and the summary, so it's clear what it is without extra explanation.
